Booking Information

Bookings are essential in order to secure your spot. Please keep in mind, we cannot guarantee you will get a spot if you show up without a booking. 

Please note that we don’t accept latecomers, our door downstairs will be locked for your own safety. Please arrive at least 10 min before class starts and always check in at reception before entering the yoga studio.

All purchases are non-transferable. If you are unable to attend a class for any reason, please see the terms and fees applicable for late-cancellation/no-shows, suspending or cancelling your membership below.

Class Booking and Cancellation Policy

  • Bookings cannot be accepted without a credit card on file.

  • For Reformer Pilates classes we do require non-slip socks, these are available for purchase at the reception.

  • For Reformer Pilates we have a strict 4-hour cancellation window, if you are not able to attend your booking please cancel at least 4 hours prior to your class start time.

  • For Yoga & Mat Pilates classes we kindly ask you to cancel your booking at least 4 hours prior to class start to give your fellow yogis a fair chance to attend.

  • All class cancellations must be made via your Account (Schedule) either online or via the app. We do not accept class cancellations via email or phone call unless you are experiencing technical difficulties, in which case please us at theyogaroom.sb@gmail.com

  • For Reformer Pilates bookings, if you book a class and fail to cancel your booking at least 4 hours prior or do not show, you will forfeit your class pass and be charged a $18 Late Cancellation fee on any of our pricing options. Fees will be automatically deducted. If we are unable to process the payment future booking restrictions may be applied until the fee is recovered.

Reformer Class Waitlist Policy – Please treat the waitlist like you are booking a class.

MINDBODY waitlist function allows you to waitlist a spot in an already full class. When a spot in the class becomes available, the first person on the waitlist will be automatically moved into the class up to 1h before class starts. Spaces that are cancelled inside our 4-hour cancellation window will be charged the usual late fee and the space will be made available for anyone to book online. If you have added yourself to the waitlist and a spot frees up less than 1 hour before class starts you will not be automatically enrolled from the waitlist into class but are free to book any spots that become available during this period.

In order to utilize the waitlist function you must have your ’Schedule Updates’ text and email notifications turned on. You will receive both an email and an SMS when you are booked into a class via the waitlist. From this notification, you can confirm or cancel the booking. To cancel your booking you need to respond ‘N’ more than 4 hours before the start of class to avoid a late cancellation or no-show charge. Please note, if you don’t confirm the booking the system will still consider you booked into the class as the spot is held for you. If you do not confirm your booking and do not show up for class you will be charged the no-show fee and the space will be available for walk-ins as per our Cancellation Policy. 

Please be mindful of this when booking the waitlist for early morning classes as it is possible you will be automatically enrolled into a class during the night up until 4 hours before the start of class! Please treat the waitlist like you are booking a class. If you have added yourself to the waitlist and no longer want to attend the class, please cancel the waitlisted classes via your Account (Account Schedule). 

Membership and Pass Terms and Conditions

Casual/Day Pass Yoga & Mat Pilates: Gives you access to classes for the whole day, it activates on first visit.

Casual Reformer Pass: Gives you access to 1x Reformer class, it activates on first visit. You have 1 month to activate this pass from your date of purchase.

10-Class Pass and 20-Class Pass: 10-Class Passes are valid for 6 months and 20-Class Passes for 12 months after the first visit. This pass is non-refundable and non-transferable. No extensions or suspensions are available. You can nominate 1 other person to share your 10 or 20-Class Pass with you. Please have your friend/family member register online and then contact our studio with the details so we can link the person to your account. It is the responsibility of the class pass member to let us know of any changes to pass-sharing relationships.

1-Week Unlimited Yoga Pass/FIFO: Gives you access to unlimited Yoga & Mat Pilates classes for 1x week. This pass activates at the first visit. You have 12 months to activate this pass from your date of purchase.

1-Month Unlimited Yoga Pass: One-off payment. Gives you access to unlimited Yoga & Mat Pilates classes for one month. This pass activates at the first visit. You have 12 months to activate this pass from your date of purchase. Please note, this is not a membership.

Intro Offer: Available as a first-time purchase only.

  1. 30-Day Yoga Intro Offer: Valid for 30 days from your first class booking, not the purchase date. You have 12 months to activate your pass.

  2. 14-Day Reformer Pilates Intro Offer: Attend unlimited Reformer Classes. Valid for 14 days from your first class booking, not the purchase date. You have 12 months to activate your pass.

  3. 30-Day Yoga & Reformer Pilates Intro Offer: Valid for 30 days from your first class booking, not purchase date. You have 12 months to activate your pass.

Strictly no suspensions or extensions available.

Memberships

All memberships are deducted fortnightly and have a minimum commitment period. Please read your contract for full membership contract details. Some important information below.

  • Unlimited Yoga Membership: Minimum commitment of 3 months, or if paused during this time a minimum of 6 fortnightly deductions

  • Unlimited Reformer Membership: Minimum commitment of 3 months, or if paused during this time a minimum of 6 fortnightly deductions.

  • Unlimited Yoga & Reformer Membership: Minimum commitment of 6 months, or if paused during this time a minimum of 12 fortnightly deductions.

  • Unlimited Jetts & Yoga Membership: Minimum commitment of 6 months, or if paused during this time a minimum of 12 fortnightly deductions. First payment includes a $29 charge for your Jetts Access Pass. This can be waived if you already own one, simply email us to arrange this.

  •  If you decide to cancel your membership before your lock-in period, you will be required to complete payment for this duration of time.

  • Studio Membership Payments are debited from your credit card fortnightly. We do not accept AMEX.

  • You can book classes under your membership from your selected start date.

  • Payments are non-refundable and non-transferable.

  • Payments will continue until further notice from you.

  • When you enter into a direct debit agreement with us your recurring payments will be secured at the said rate for a period of 12 months.

  • We reserve the right to increase your direct debit after the 12-month period and will notify you with a month's written notice if this is the case.

Declined Autopay Policy A dishonor fee of $14.80 will be charged to you by Ezidebit for any payments that are unable to be processed. We reserve the right to charge reasonable administration fees for students whose payments fail on a regular basis. We reserve the right to terminate Unlimited Autopay Memberships of students who fail to respond to correspondence from us regarding failed payments.

Cancellation & Suspension Requests for memberships

  • Suspensions must be requested in writing via email to theyogaroom.sb@gmail.com with your start and end date. We require 7 days’ notice before your next scheduled payment to process your suspension request. 

  • If you have a membership payment scheduled during this notice period – the payment will be processed and cannot be reversed. 

  • The minimum suspension period is 7 days and you can suspend for a maximum of 28 days per a 6-month period. 

  • Days that have been paid for will be made available for use at the end of the suspension. 

  • Memberships will not automatically be placed on suspension due to non-attendance.

  • Cancellation requests must be submitted in writing.

  • Contracts continue each fortnight unless formally cancelled by email by the member with a minimum of 14 days' notice. This means upon receiving your request for cancellation if your next scheduled payment falls within the next 14 days time frame, the amount of your regular fortnightly payments will still be deducted.

  • Any membership payments during this notice period are non-refundable.

  • Once you have submitted your cancellation request, you will receive an email notification that it has been accepted. If you do not receive this request within 7 days of your cancellation request please contact us.  

  • It is the responsibility of the member to cancel their membership. Non-attendance does not warrant a refund on membership payments. Memberships will not automatically cancel due to non-attendance.

  • Your final payment will be a full fortnightly payment and you will still be able to book classes for that fortnight.

  • Please note, that a suspended membership cannot be terminated

PROMO Upfront Memberships

  • 12-Months Upfront and 6-Months Upfront Memberships are non-refundable.

  • 12-Months Upfront and 6-Months Upfront Memberships can be transferred to another member at a cost of $50. It can take 48 hours to process the transfer once we have the details from you.

  • This membership cannot be suspended, however we can extend this membership should you go away. Extension period needs to be at least 7 days and a maximum of 56 days for your 12-Months Upfront Membership and 28 days for your 6-Months Upfront Membership.

  • Note that no-show fees and late cancellation fees for our Reformer classes apply as per our regular membership terms & conditions.

  • Bookings opening on the 1st of each month and can be made for that month in advance.

FIFO 12 Months Upfront Membership

  • Access to 8 classes per month.

  • You will get a new set of 8 classes at the start of your rolling month. Any unused classes will be forfeited at the end of each month.

  • This membership can be transferred to another member for $50. Once we have your details, it can take up to 48 hours to process the transfer.

  • Please note that this pass cannot be suspended or extended.

  • Proof of FIFO work and roster may be required.

Changes to timetable

The Yoga Room Scarborough reserves the right to make changes to their timetable from time to time. This includes but is not limited to reasonable changes in the length of classes, type of classes as well as the number of classes.

Changes to Terms and Conditions

I understand that The Yoga Room Scarborough may change their Terms and Conditions from time to time and will publish those changed Terms and Conditions on their website. I understand that The Yoga Room Scarborough has no responsibility to provide me with any other notice of such changes.

No Refund Policy

I acknowledge and agree that payments made to The Yoga Room Scarborough are non-refundable or transferable under any circumstances. Any credits to my account of any amounts paid will be at the absolute discretion of The Yoga Room Scarborough. Isabelle Moon Purchases are non-refundable unless found faulty and returned in their original condition, unwashed and unworn.

Force Majeure

I understand and agree that The Yoga Room Scarborough accepts no responsibility for cancellation, delays, changes or losses caused by acts of God, war, a threat of war, closure of airports, civil strife, pandemic, epidemic, natural disasters, accidents or any other events beyond The Yoga Room Scarborough’s control. This includes injuries, illnesses, medical or psychiatric conditions developed during or subsequent to the class as well as loss of, or damage to, personal property during class.

If we have to cancel a class or workshop due to a Force Majeure Event, we will refund you the value of the class or workshop as a credit which you can use  in the future. Your credit can be redeemed for like services only (so a credit for a cancelled class can only be used toward another class, a credit for a cancelled workshop can only be used toward another workshop).

Privacy

Collection of information We collect Personal Information in a variety of ways including via email, by visiting our studio, via our Websites, the MINDBODY app, and via third parties.

Use of Personal Information

We use Personal Information for the primary purpose of providing our Service to you. We also use if for a range of related purposes, including: to operate, administer, improve and analyse our Service; to prevent fraudulent use of our Service; to prevent or take action against activities that are, or may be, in violation of our Terms of Service or applicable law; to tailor marketing and content of our Service to you; to maintain records of our interactions with you; to resolve disputes and enforce agreements with you; and for any other purposes that we disclose to you when we request your Personal Information. We may also use your Personal Information to contact you regarding products, services and offers. We allow you to opt out from receiving marketing communications from us via a link at the bottom of our emails, or by emailing us directly at theyogaroom.sb@gmail.com

Disclosure of Personal Information

Your Personal Information may be disclosed to third party service providers (eg. payment processors and Jetts Gym) that assist us with our Service, but only to the extent that is reasonably necessary for them to perform their functions. We require any such third parties to maintain the confidentiality of your Personal Information. Otherwise, except as described by this policy, we will not disclose your Personal Information to third parties without your consent, unless required or authorised by law.
